Companies
The Companies registry stores all companies you work with – both customers and suppliers. Each company card collects contact details, bank accounts, sales settings and other useful information.
Adding a new company
- Open Companies from the menu and click the button for creating a new company.
- Start typing the company name – the program suggests matching names and also searches the Business Registry. If the company is found, the program automatically fills in the registry code, VAT code, addresses, phone, e-mail and contact person. If you have entered the code yourself, your code is kept.
- A new company is both a customer and a supplier by default. If the company is only one of these, uncheck the corresponding box.
Company card
The company card contains the following sections:
- Sales – sales settings (payment term, interest %, currency, price list, print form);
- Contact details – legal and postal address, phone, etc. The postal address is copied from the legal address automatically, until you change it yourself;
- Settings – company settings (e.g. customer and supplier accounts);
- EDI – e-invoice data (e.g. GLN, default item and account for e-invoices or scanned receipts);
- Contacts – contact persons (rows are numbered automatically);
- Bank accounts – the company's bank accounts (rows are numbered automatically);
- Related parties – related parties with validity period (from–until);
- History – history of changes to company data. The history is loaded only when you open it, and you can click a row to open the corresponding source document.
Searching and filters
You can filter the list of companies:
- Group – show only companies from the selected group;
- Customers / Suppliers – show only customers or only suppliers;
- Active companies / Closed companies – show only active or only closed companies.
Company pickers (for example on an invoice) are displayed in code order.
Apartment association customers
For apartment buildings, a special form opens for the company, which in addition to sales data contains:
- Apartment data – apartment, building, address, tenant;
- Finance – financial data;
- Bank accounts;
- Measurers – metering devices linked to the measured objects. The list contains all measured objects; entering a meter number automatically enables the row;
- Invoice delivery – settings for sending invoices.
Merging companies
If the same company has been added to the registry several times, you can merge the duplicates. The data is moved into one company and the other is closed for using.
- Open the company you want to merge (the source company).
- Start the merge from the company card.
- Select the target company – the company that receives the data and remains. The Merge button is enabled only after you have selected another, existing company.
- Check in the confirmation window that the source and target companies are correct – both are shown side by side.
- Click Merge. The result is shown in the same window and the company card reloads automatically.
Please note
Merging cannot be undone. The source company is replaced by the target company – make sure you have selected the right company before confirming.
